What is ClefSync?
ClefSync is a cloud system for K-12 music programs to manage instrument inventory: scan a QR code to check instruments out and in, track repairs, capture parent loan agreements, run year-end audits, and pull reports. It replaces spreadsheets and paper forms, built from the ground up with student-data privacy (FERPA-aware, access-logged).
Who is ClefSync for?
ClefSync is for K-12 music programs: band and orchestra directors, building and district administrators, and instrument repair technicians. It fits single-building teachers (Individual, $129/teacher/year), departments (Bulk, $110/teacher for 10-29), and multi-building districts (custom).
How does instrument check-out and check-in work?
Scan an instrument's QR/barcode (or look up its asset tag) to check it out to one or more students, with due dates and a recorded condition. Check-in logs returned condition, supports partial returns, and auto-flags poor or non-functional instruments for repair. Each action writes an audit record and emails parents.
Do I need special barcode or scanner hardware?
No special hardware needed. ClefSync's QR/barcode scanning runs in your browser using a phone, tablet, or laptop camera, with manual asset-tag entry as a fallback. Any device with a camera works for checkout, check-in, and inventory audits.
Can I run an instrument inventory audit without Wi-Fi?
Yes. Start the audit online so it loads the manifest onto your device, then keep scanning offline. ClefSync stores scans locally, shows an "Offline" indicator, and counts pending scans. Reconnect to sync, and it flags any conflicts. Plan one connection at the start and end.
How does ClefSync protect student data, and is it FERPA compliant?
ClefSync is designed to be fully FERPA-compliant. Per-district isolation, role-limited access, append-only access logging, TLS, and at-rest database/field encryption are fully implemented, and we collect only minimum-necessary instrument-management data.
Can parents sign instrument loan agreements online?
Yes. A teacher generates a loan agreement from an instrument assignment; the parent gets a secure emailed link and signs from their phone, with no app or login needed. Generated, signed, or expired status then shows on the instrument record.
Does ClefSync work across multiple schools in a district?
Yes. ClefSync is multi-tenant district software: each district's data is isolated at both the application and database layers, admins see the whole district while a teacher sees only their room, multiple buildings are supported, and cross-building loans are flagged ("on loan from..."). A custom District tier covers 30+ teachers.
Can I import my existing instrument inventory?
Yes. ClefSync has CSV instrument import with a preview-and-confirm step (district-admin access), so you bring over your inventory instead of re-keying it. After import, add asset tags and print QR/barcode labels. We provide complete data-migration support to get you up and running quickly.
How much does ClefSync cost?
ClefSync publishes annual, per-teacher pricing: $129/teacher/year for an individual educator, $110/teacher/year in bulk (10-29 teachers), and custom volume pricing for districts (30+).
